Step 1: Collect on site when you can
The easiest invoice to collect is the one paid before the tech leaves. Make sure techs can take card or tap payment on their phone, and present the invoice at job completion.
Step 2: Set clear terms
Put payment terms (due on completion, net 15, and so on), accepted methods, and any late fee policy on estimates and invoices. Commercial customers often expect net terms. Agree on them upfront.
Step 3: Write the reminder sequence
Write 3 invoice reminder emails/texts for [Company], a [trade] contractor. Placeholders: [First name], [Invoice #], [Amount], [Due date], [Pay link].
1) 3 days before/at due date: friendly heads-up.
2) 7 days overdue: polite, direct, offer to answer questions about the invoice.
3) 21 days overdue: firm final reminder asking them to pay or call [office phone] to set up a payment plan.
No threats, no legal language, no late fees unless I say they're in our terms. Texts under 300 characters.
Step 4: Turn on automatic reminders
Most field service and accounting tools can send scheduled reminders with a payment link. Paste in your messages, set the schedule, and send a test to yourself. affiliate link placeholder
Step 5: Escalate with a call
At about 30 days, have a person call. Ask whether there’s a problem with the work first. Disputed work is often the real reason an invoice goes unpaid. Write down what was agreed.
Step 6: Review aging weekly
Spend 10 minutes each week on the accounts receivable aging report (current, 30, 60, and 90+ days). Ask AI to summarize the export if it helps, but leave out customer details.

FAQ
Are there rules for collecting my own invoices?
The federal Fair Debt Collection Practices Act mainly covers third-party debt collectors, but some states have broader laws that can apply to businesses collecting their own debts, and California's Rosenthal Act is one example. Stay truthful and not harassing. Talk to an attorney before threatening liens or legal action.
Should I add late fees?
Only if your written terms allow them and they're legal in your state. Put the terms on the estimate and invoice before the work starts.
Can AI call customers about overdue invoices?
Keep collection calls human. They involve judgment, relationships, and legal risk.
