The short answerMissed-call text-back sends an automatic SMS to anyone whose call you don't answer, so they can book by text instead of calling the next contractor. Most field service software and many phone systems include it. Turn it on, register your business texting number (A2P 10DLC) if your provider requires it, write a short message that asks one question, and route the replies to someone who answers fast.
  • Time1-2 hours, plus carrier registration wait

You'll need: A business phone number that supports SMS, admin access to your phone system or field service software, and someone who will answer texts

Why this matters

Every missed call is a homeowner who may call the next company on the list. A text that arrives in seconds keeps the conversation going while you’re on a roof or under a house. We don’t publish industry-wide “missed call” percentages unless we can trace them to a primary source. The simplest way to see your own number is step 7: count your missed calls for two weeks.

Step 1: Check whether your current tools already have it

Before buying anything, look in:

  • Your field service software. Jobber, Housecall Pro, ServiceTitan, and others offer texting features, and some include missed-call or auto-reply options depending on the plan. Check the pricing or features page for your plan. affiliate link placeholder
  • Your business phone system. VoIP providers like RingCentral, Google Voice for Business, OpenPhone/Quo, and Grasshopper often support auto-replies or call-handling rules.
  • Your CRM or marketing tool. Some include “missed call text back” as an automation trigger.

If none of these do it, a standalone texting tool or an AI answering service (see our AI answering guide) can fill the gap.

Step 2: Confirm your number can text and is registered

Business texting from a regular 10-digit number usually requires A2P 10DLC registration through your provider. That means registering your business (legal name, EIN) and describing your use case, like “customer care, replies to inbound calls.” Approval can take days, so start it first. Your provider walks you through it.

Step 3: Write the auto-text

Keep it short, name your business, and ask one question that moves toward booking:

Hi, this is [Company] — sorry we missed your call! Are you calling about a repair, a new system/estimate, or something else? Reply here and we'll get you scheduled. Reply STOP to opt out.

After-hours version:

Thanks for calling [Company]. We're closed right now and will reply by [time] tomorrow. If you have no heat/AC or a leak right now, reply URGENT and we'll [your real after-hours process]. Reply STOP to opt out.

Only include an “URGENT” path if someone actually monitors it.

Step 4: Set the trigger and business hours

  • Trigger: an unanswered inbound call (and voicemail, if your system separates them).
  • Delay: immediate or under 1 minute.
  • Exclusions: known spam numbers, and existing customers if you’d rather call them back personally.
  • Hours: one message during business hours, one after hours.

Step 5: Route replies to a person

The text is only as good as the response. Pick one person (dispatcher, CSR, or you) who gets a notification for every reply, and decide your target response time during business hours. Write it down.

Step 6: Test it

Call your business number from a personal phone, let it ring out, and confirm:

  1. The text arrives, from the right number, with the right wording.
  2. Replying creates a conversation your team can see.
  3. Replying STOP opts you out.

Step 7: Review weekly

Every week for the first month, check how many missed calls triggered a text, how many replied, and how many booked. Those are your real numbers. Adjust the wording if replies are low.

Where AI fits next

When the basic text-back works, you can add an AI agent that answers common questions, collects the address and problem, and offers appointment windows. Start narrow and keep a human in the loop for pricing and emergencies.

FAQ

Is it legal to auto-text someone who just called me?

Replying to a person who called your business is generally treated differently from cold marketing texts, but texting rules (the TCPA and carrier rules) still apply. Keep the reply about their inquiry, identify your business, honor STOP requests, and get explicit consent before sending marketing texts. Ask your attorney if you're unsure.

What is A2P 10DLC and do I need it?

A2P 10DLC is the US carrier registration system for business texting from standard 10-digit numbers. Most texting providers require you to register your brand and use case. Unregistered traffic may be filtered or blocked.

Should the text come from an AI chatbot?

Start with one fixed text and a person replying. Once that works, an AI agent can handle common questions and booking. Keep a human handoff for emergencies, pricing disputes, and anything safety-related.

What about after-hours calls?

Use a separate after-hours message that sets expectations, like when someone will call back and how to reach emergency service. Never promise a response time you can't keep.
